DawsonyWeb – Care Report Manager
Setup and everyday use.
Turn everyday WordPress maintenance into clear client reports. Keep client details, record the work you do and create a monthly summary you can print or save as a PDF. All included features are free. Optional monthly HTML emails, manual sending and delivery history are included in Free.
Install the plugin
Download the free ZIP from this page. In WordPress, open Plugins → Add New Plugin → Upload Plugin, choose the ZIP and select Install Now, then Activate.
Open Care Reports in the WordPress menu. There is no account, subscription or licence key to configure.
Set up clients and record work
Open Care Reports → Clients → Add Client. Enter the contact name, company, email address and website. Notes are for your own reference.
Use Edit to update contact details, then open Activities to record the work for that client. Clients with activities or reports cannot be deleted until those records are removed, which protects the reporting history.

Send monthly reports by email
Set your agency details and valid client email addresses, then configure SMTP or another WordPress mail service. In Settings, choose a sample client and Send test to my email. This sends only to your own WordPress account address and does not create a report. Confirm it arrives before enabling automation.
Enable monthly report emails, explicitly select the clients and save. The hourly WP-Cron job sends the previous calendar month after 09:00 on day one in the WordPress site timezone. A newly enabled schedule or missed run can send that previous month on its next run. Only selected clients are included, with up to 10 attempts per run. Site traffic or a server cron is needed.
Reports are sent as HTML in the email body, without a PDF attachment. In a saved report preview, Email to Client sends it manually to the saved client email. Manual sending is independent of the monthly job and can create another email if used for the same period.
Review sending attempts and previous-month status in Settings. Accepted means WordPress accepted the email, not that it reached the inbox. Failed monthly sends retry up to three times at least an hour apart, reusing the report. Interrupted sends wait for review; check your mail service before resetting an old delivery for retry because it may send a duplicate. Accepted monthly jobs are never reset automatically.

Create a report and save a PDF
Open Reports → Create Report. Select the client, enter a title and choose the start and end dates. Add a summary and practical recommendations for the next period.
The preview includes activities for that client and date range that are marked for inclusion. Select Print / Save as PDF and choose Save as PDF in your browser, then send the file using your normal email workflow.
Log maintenance work
Open Activities to record updates, backup checks, security reviews, performance checks and other maintenance. Choose the client, activity type, title, date and description.
Use Include in report to choose whether an activity appears in the client summary. Filter the activity list by client and date range when reviewing the month.
Capture successful updates
In Settings, enable Capture Updates and choose a Default Client. Successful plugin, theme and WordPress core updates on this installation are recorded against that client.
This is a local reporting tool, not a remote site monitor. Adding another website to a client record does not connect to it or collect its updates. Record external work manually.
Set agency details and repeat a report
In Settings, enter the agency name, contact email and default report introduction. You can also save default recommendations for use when preparing reports.
Use Duplicate for Next Month from the report list to prepare the next period. Review the dates, work summary and recommendations before sharing.
Understand what the report contains
Reports are generated from the activities currently stored for the selected client and period. Keep a saved PDF when you need an unchanged copy of a report already sent to a client.
Client records, activities and reports are stored in your WordPress database. Include it in your backup routine. There is no built-in email delivery, automated report schedule or hosted client portal.
Updates and support
Download the latest ZIP from this page. Back up your database and plugin files, then upload the ZIP through Plugins → Add New Plugin → Upload Plugin and choose to replace the installed version. Updating keeps your existing client records, activities and reports.
Do not uninstall the plugin to update it: uninstalling removes its stored data. For help, contact Dawsony with your plugin version, WordPress version and steps to reproduce the issue. Remove private client details from screenshots.

What’s new in 1.2.0
- Monthly HTML report emails are included in Free, with explicit client selection, site-timezone scheduling and manual report sending. Automation is off until enabled.
- Test-send a previous-month report to your own WordPress email, and review delivery attempts. WordPress acceptance does not confirm inbox delivery.
- Duplicate-safe monthly jobs reuse reports on transport retries. Failed sends retry up to three times; interrupted sends require a manual review before retrying. WP-Cron requires site traffic or a server cron.
